Start by checking whether the text is selectable
Open the PDF in a normal browser PDF viewer. Move your cursor over a sentence and try to select a few words. If you can highlight individual letters, the document probably contains a text layer. You may be able to copy a short passage directly with Ctrl+C (or Command+C on a Mac).
If your cursor only selects a rectangle or nothing happens, the PDF may consist of scanned page images. A scanned page needs optical character recognition (OCR) before the words become editable.
Method 1: Copy a short passage from your viewer
- Open your PDF in a browser or PDF application.
- Select the sentence or paragraph you need.
- Copy it and paste it into a text editor.
- Check punctuation, line breaks and any hyphenated words.
This is ideal for a few lines. It becomes tedious for a large report, and headers or sidebars can interrupt your selection.
Method 2: Extract an entire PDF with Extract Text Now
- Visit the PDF to text converter.
- Choose your PDF file. It is processed locally in the browser.
- Leave the page field empty for the complete document, or type a range such as 2-6, 9.
- Select Convert to text.
- Copy a single page, copy the combined result, or choose Download .txt.
This method is useful when you need many pages in one place. The .txt output works in basic text editors and many research, note-taking and writing applications.
Method 3: Use OCR for a scan
When the source is a photo or scan, enable Use OCR for scanned pages before conversion. Extract Text Now attempts OCR on pages where it finds little or no selectable text. OCR is slower and limited to 30 selected pages per job. If you have more pages, process them in batches and combine the results in your editor.
What about tables and columns?
Copying words out of a PDF does not guarantee a sensible table or column layout. A three-column report may be stored as disconnected text fragments, even when it looks perfect on screen. Extracted plain text should therefore be treated as working material rather than a faithful replica of a designed page.
Before using copied content
Respect copyright and confidentiality, keep track of the original source for quotations, and compare critical details with the PDF. Copying text is a convenience; it does not confirm that the content is correct or that you have permission to republish it.
